The certificate comes out of the student's record, not out of a Word template

A private school issues hundreds of certificates a year, to recipients it does not get to choose: insurers, employers, consular services, other schools. Scoliom Scolarité produces those documents from the student's record, enters them in the school's register under a number, makes them available to the family, and lets whoever receives them check where they came from by QR code.

  • On your school's letterhead — the school's stamp, signature and administrative details, in French and in Arabic on the same document
  • One at a time or in bulk — a whole class, or even an entire year group, issued in a single operation
  • Delivered to the family space — once the school leadership has approved them, guardians collect them on their own, whenever they need them

When certificates are written by hand

Three moments when a certificate costs far more than it should

The urgent request, always wanted for yesterday

A visa application to file, an employer's allowance to justify, an activity whose enrolment closes tonight: the request lands without warning and goes straight back to the front office, usually at the point in the year when it has the least time to spare.

The retyped document and the typo that keeps coming back

Every certificate starts again from a copied template, where the name, the class and the school year are swapped over. One letter out of place in a family name, an out-of-date class, and the recipient refuses the document: it has to be produced again, signed again and stamped a second time.

No memory of what was issued

Two years later, an organisation calls to check a certificate. The person who wrote it has left, the file has moved folder, and the school can neither confirm nor deny it. With no register kept, there is no trace of what went out, for whom, and on what day.

What the module takes care of

From the student's record to the school's register

Producing a PDF is something any word processor can do. What is missing elsewhere is delivery to the family space, the trace left in the register, and the means, for a third party, to trace the document back to its source.

School certificate

In French and in Arabic, ready with no waiting.

The document fills itself in from the record you have open: family name, date of birth, class and school year all come from the file, and the school's letterhead, stamp and signature are already in place. Nobody retypes anything.

Leaving certificate / exeat

A departure that leaves a tidy record behind.

Leaving date, reason for the departure, where the family stands with the school: the exeat is drawn up once and for all, handed to the family and kept in the student's record — the next school will not have to ask for it twice.

Issuing in bulk

A whole class, or an entire year group, in one go.

Instead of opening one record after another, the school leadership selects a class or a year group and starts the run: the documents come out numbered and ready to be made available, in a single operation.

Delivery to the family space

The guardian helps themselves, at any hour.

Once the school leadership has agreed, the document appears in the family's space — the same one where they already follow their online enrolment and re-enrolment — and stays downloadable there as many times as needed.

Numbering and register

Nothing leaves the school without a line in the register.

Every document is given a number and entered in a register you can consult: type of document, student concerned, member of staff who issued it, date. An identical reissue is still possible, a cancellation leaves its trace, and years later the school leadership still knows what was issued in its name.

Checking by QR code

The recipient traces the source in two seconds.

The organisation that receives the document scans the code and lands on a public checking page: it says whether that number really matches a document recorded in the school's register, and on what date. A document that did not come from it finds no match — and the page shows only the initials and the class, never the student's record.

Try it yourself

Take a document and check it right now

The document below is a specimen school certificate, produced by the platform for a fictional student (marked “demonstration, no administrative value”). Open it, scan its code with your phone — or go straight through the link — and watch the school's register answer in 2 seconds. Along the way you will see data minimisation at work: the checking page shows only the initials and the class, never the full name, exactly as the GDPR minimisation principle requires.

How to get it

A module of Scoliom Scolarité, not one more piece of software

There is nothing to buy separately and nothing to install on your computers: issuing administrative documents is part of the Scoliom Scolarité platform. We set it up to suit you — your templates, your letterhead, your approval route, the languages your families speak — whether you take the platform on its own or a full IT management contract.

What the scope covers: school and leaving certificates, bulk issuing, delivery to the family space, numbering, register and checking by QR code, all anchored to the Scoliom Scolarité student record. The amount depends on your student numbers, your country and the scope you choose, and is never billed per student: it is set out in a written quote after the remote assessment, and stays fixed for the whole school year.

New

New: family requests, online

From the parent space, families request a school certificate, an enrolment or re-enrolment certificate, a leaving certificate, the correction of a detail, or an appointment. They choose the child, explain the request and follow its status: sent, in progress, more detail requested, accepted or declined. They can attach a file to the request, then to each follow-up asked of them — three at most.

The school handles them in a family requests tab: a queue, overdue requests flagged, a decision and a written reply — a refusal always states its reason. Accepting a certificate request does not issue anything by itself: the office then issues the document, verifiable by QR code. School leadership opens or closes the service and sets the response time announced to families. Included in every plan.
