Billing & arrears
The school's cash position, readable at last.

A private school does not need ten separate programmes: it needs one student record, and from that record follow the billing, the report cards and the messages sent to families. That is the Scoliom principle — one platform, one contract, one point of contact, wherever your school happens to be.
One programme for the marks, a ledger for the payments, a group chat to warn parents: each department works on its own, none of them starts from the same student list, and the leadership team spends its evenings piecing everything back together.
Every new school year, the same students are re-entered into the official platform the school must report to, then into the front office's files, then into the teachers' lists. Every copy adds its own errors — and nobody knows which version is the reference any more.
One supplier for the website, another for the network, a relative who “knows about computers” for the rest: the day a tool breaks down in the middle of report card season, everyone passes the responsibility on to someone else and the school waits.

Online enrolment, every file under control.

Report cards ready on time at the end of every term.
Teachers enter their marks, averages are worked out according to your rules, report cards come out ready to print — with no late nights at the end of term.
Every school date, published to families.
Holidays, parents’ evenings, class councils, trips: each date is published to the whole school, to a year group or to a single class, and families read it in their own space.
Attendance and late arrivals followed day by day.
Every absence is recorded as soon as the morning register is taken, and the family is told straight away. The week's timetable — by class, by teacher, by room — and the day's cover are kept in the same place.
Messages delivered, failed and answered — all followed from one place.
Newsletters, meeting requests and reminders sent by class, by year group or by family, from a single screen.
One code, all your children.
With the Scoliom Sérénité plan, the school gives each family an access code: it opens every child's space — invoices, absences, report cards, documents. No account to create, no password to remember — see the family communication screen.
Certificates and attestations, recorded in the register and delivered online.
School certificates, leaving certificates and attestations: generated automatically from the school's own data, notified to the family by WhatsApp or email and delivered to their space on the portal, with everything archived — the front office no longer works through a queue, it runs the process.
Repetitive work is prepared for you; you approve it.
Reminders, periodic reports, notifications, exchanges between your tools: the messages are prepared for you, with the right recipient and the right amount — and nothing goes out before the school has read it over. No family receives a letter you have not seen.
Campaigns that fill your classes.
Google, Facebook and Instagram advertising for your enrolment campaigns: targeting families in your catchment area, a budget you keep under control, and every parent enquiry landing straight in your enrolment pipeline — from the advert to the enrolled student.
Your reporting obligations met, with far less re-keying.
Scoliom works alongside the software already in place and alongside your country's official platform: lists are imported instead of being typed out again, and nothing is abandoned under pressure.
Who gets on which bus, at which stop.
Vehicles and their number of seats, routes and their stops in order, the driver attached to the transport, and each pupil assigned to a stop against the vehicle capacity. The family reads its child’s stop in its own space, without calling the school office. See the transport module
Transport, the canteen, and whatever you configure.
Each family subscribes to the school’s services, with their rate and their billing logic. The amount joins their instalment plan along with the rest of the fees, with nothing kept separately. The canteen here is a subscribed and billed service: no menus, no meals, no stock.
A school management application is judged on everyday work, not on the length of its feature list. To help you choose, our guide sets out the questions to ask any school management software supplier. Here is how Scoliom handles the six needs we come across in every private school, from pre-school to higher education and from one country to the next.
Each student exists only once: identity, class, family, siblings, supporting documents and school history are brought together in a single record. Your current lists are taken over by import, whatever format they start in, and then feed the billing and the report cards. No more contradictory lists between the front office, the finance team and the teachers.
Enrolment fees, tuition fees, transport, catering: each family has its own instalment plan, and every payment taken produces a numbered receipt. Late payments are picked up automatically and chased by WhatsApp or by email, with a progressive series of wordings that you approve before anything goes out. The leadership team sees at a glance who has paid, who owes and for how long.
Families fill in an online form and photograph their supporting documents from their phone; the front office follows each file — complete, incomplete, pending — in one clear table. Re-enrolment starts again from last year's file in a few clicks, and reminders to families running late are prepared for you, ready to go as soon as you have read them over.
Teachers enter their marks from any browser; averages, weightings, rankings and comments are worked out according to your school's rules, including when it follows a foreign curriculum. Report cards come out as PDFs, ready to print or to publish in the family space. Full details on the Marks & report cards page .
Holidays, parents’ evenings, class councils, trips: the school publishes each date to everyone, to a year group or to a single class. Families read the calendar in their own space, in English, French or Arabic — and it is always the current version. The class timetable itself is built in the Timetable module — by class, by teacher and by room, with clashes refused before saving and the day's cover. See the school timetable page.
Newsletters, meeting requests, payment reminders, the day's absences: messages go out by WhatsApp and by email, by class, by year group or by family, from a single screen — and the tracking table shows what was delivered, what failed and what was read. Full details on the Family communication over WhatsApp page .
Decisions based on current figures, not on impressions.
One dashboard in the morning: yesterday's payments, absences reported, enrolment files still pending, messages sent to families. The leadership meeting starts from facts, and preparing the next school year rests on this year's figures rather than on recollection.
Cash followed in real time, family by family.
The state of the arrears can be checked at any moment, with the detail of the reminders already sent and those prepared and waiting for you to send them. The monthly close rests on numbered receipts and clean accounting exports, rather than on a manual reconciliation between several ledgers.
Every request handled in seconds, with nothing re-keyed.
A school certificate is generated from the student's record; a class list is exported with no re-keying; a family who calls gets their answer during the call, because the whole file fits on one screen. The time saved goes back into welcoming families.
Many schools pay separately for a marks package, a billing tool, a messaging service and a supplier for the website — with nothing talking to anything else, and nobody answering for the whole. Scoliom takes the opposite view.
The whole administration of the school, brought together in a single monthly contract:
You replace a pile of subscriptions with a single plan — and one point of contact answerable for the whole.
One subscription per package — marks, billing, messaging — negotiated and renewed separately, with data copied by hand from one tool to the next, different training courses and different contacts for each product, and a total cost that is hard to pin down and climbs with every addition.
The result: the school pays several times over for building blocks that ignore each other, and the leadership team ends up acting as the IT department.
The Scoliom suite is not a pile of licences to buy, install and then maintain: every module is already built and hosted, and we configure it for your school as part of the Scoliom management contract, starting with whatever costs you most today. Would you rather have the platform on its own, run by your own teams? Scoliom Logiciel hands it over to you on a quotation basis (see the plans). School administration is the very foundation of the contract: the Scoliom Essentiel plan — “running the school” — is also quoted on request; the exact scope and the amount are settled in writing after the remote assessment.
What each plan covers: Scoliom Logiciel gives you the platform on its own (student database, billing, online enrolment, marks & report cards, timetable with its set-up, school calendar published to families, support by ticket); the Essentiel plan includes the student database, billing & chasing arrears, online enrolment & re-enrolment and parent notifications (WhatsApp & email). The family space and documents that can be checked by QR code are part of the platform from Scoliom Logiciel onwards; Sérénité — “the connected school” — adds one code per family for the family space, supervision of your equipment, security and support for your teams; Direction Numérique — “steering the school” — adds student recruitment campaigns and leadership advice; the AI assistant for families remains an independent service, on quote. Each plan includes everything in the previous one and is quoted on request: the amount depends on your student numbers, your country and the scope you choose, and there is never any billing per student. Scope, data migration, training and support are confirmed in writing after the remote assessment, and the amount stays fixed for the whole school year.

| Tool already in place | How we connect to it |
|---|---|
| Pronote™, Eduka™ | File imports and exports, plus coordination with the vendor through the support contract held by the school |

| Microsoft 365 & Google Workspace | Account administration according to your own subscription |
No official partnership with these vendors: the mechanisms are specified and tested during the assessment.
The timetable, for its part, is imported from an .ics file or an Excel list (.xlsx), one line per lesson: a preview shows what will be written, and doubtful cases are put to you, never guessed.
No, and it is rarely a good idea. Every module — enrolment, billing, marks, school life, communication, documents, prepared reminders and reports, enrolment campaigns — is switched on separately, within one and the same contract. Most schools start with one or two priorities, usually billing and enrolment, then widen the scope at the pace of their school calendar. Whatever the scope, data is hosted in the European Union and processed in line with the GDPR and with the rules that apply in your school's country.
In management contracts, training is included: we train the front office, the teaching staff and the leadership team remotely, in small groups and role by role, in French or in Arabic. With the Scoliom Logiciel plan it is an option, priced in the same quote. Every everyday task takes a few minutes to learn; written guides and short videos stay available to the team.
It stays in place. Scoliom works alongside your current software, and alongside the official platform your school reports its student numbers to, through file imports whose exact mechanism is settled during the assessment. We take over your student lists, your fee scales and your history — even part-way through the school year. The import runs one way only, from the file into Scoliom: nothing is ever written back into your existing tools without your say-so.
There is no public price list, and that is deliberate: the right amount depends on your student numbers, on your school's country and on the scope you entrust to us. The platform on its own (Scoliom Logiciel) covers the student record, billing, online enrolment, marks and report cards, the timetable — set-up included — and the school calendar published to families; the Essentiel plan adds platform commissioning, migration of your data, training and parent notifications; the higher plans add one access code per family for all its children, supervision of the school's IT and support for your teams. No per-workstation licence, no hidden cost and never any billing per student: the amount is settled in a written quote after the remote assessment, and it stays fixed for the whole school year.
On servers located in the European Union, with encryption in transit, role-based access, an audit log and daily backups. Processing follows the GDPR and the personal data protection rules that apply in your school's country. Your data stays yours: student lists, invoices and history can be exported at any time in standard formats, and reversibility is written into the contract.
