Managing students without the right tool

Three situations every school of a human size will recognise

A school ERP that is usually oversized

The large school management suites call for a separate subscription, designed for large student numbers. For a small school, a nursery setting or a school that is just opening, that means paying every month for features nobody ever uses.

Records scattered everywhere

Registers, spreadsheets, paper folders: the student's record exists in three versions, the history is lost from one year to the next, and siblings are linked nowhere.

Re-enrolment that trickles in

With no structured campaign, the front office chases families one by one, with no overall view of who has replied. Students leave before the head has seen it coming.

Who uses it, and for what

Each trade its own screen, on the same student database

A school platform does not serve one person but six trades, which share neither the same gestures nor the same urgencies. Each opens their own — and all read the same information, at the same moment.

The leadership

A dashboard, first thing.

Who is enrolled, who is expected, what has been collected, what is still owed, who is present — and, when a teacher is away, who is covering today. And in the evening, the certainty that the school's data is backed up — and recoverable.

The administration

One file per pupil, and it keeps up.

Supporting documents requested, received, approved, each with its own status. From one year to the next, the file is renewed instead of being rebuilt.

The school office

No more retyping, no more hunting.

Lists, certificates and attestations come out on the school's letterhead, recorded in the school register and verifiable by QR code. A bank or an employer checks the document itself, without calling.

Student life

The roll call, the calendar, and the buses.

Attendance taken period by period, absences followed and justified online by parents, the year's calendar published once — and who gets on which bus, at which stop.

The finance office

The cash desk and the arrears in one place.

Collections, instalments, numbered receipts, escalation stages and payment promises. Subscribed services — transport, canteen — join the payment schedule instead of living apart.

The families

Each one in its own language.

Marks, downloadable report cards, the week's timetable, instalments and payments, absences to justify, documents and messages — in a space available in French, Arabic and English, on the phone.

What the platform covers

From the morning bus to the end-of-year report card

The whole school day and the whole school year, on a single student database. Every screen is built so that a school secretary can use it in two or three clicks — not to impress in a demonstration.

Admissions

From the first contact to the complete file, then from one year to the next.

Enrolment Available

A new file completed in a few minutes.

At the desk by the front office, or online by the family through the public pre-enrolment form: student, guardians, year group requested, documents — from draft to approved file, with a check on class capacity.

Files & supporting documents Available

Every file checked against a clear list.

Required documents are defined for each type of file; every item is ticked off as received and in order, and a file is only approved once it is complete — and a family document approved for one child counts for their siblings. Once approved, the file follows the pupil throughout the year — see online student records.

Re-enrolment & campaigns Available

Next September prepared in a few clicks.

The school opens the campaign: pre-filled files, the next year group proposed, siblings re-enrolled together, a clear view of who has re-enrolled and targeted reminders for those running late — see also the Enrolment & re-enrolment module .

Student life

The morning roll call, the week's timetable, the year's calendar, and who gets on which bus.

Attendance & the family loop Available

The register taken in thirty seconds.

Everyone present by default, one tap for each absentee: the family is told straight away and explains the absence by photographing the medical note in the app. The school office accepts or refuses with a reason, and the parent sees the decision. Register and absence rate for each class. Attendance, in detail →

The year's calendar Available

One version, the one everybody reads.

Events, school holidays and public holidays set once for the school, then published to families in their own space. No more calendar photocopied in September, then contradicted by a memo in January.

School transport Available

Who gets on which bus, at which stop.

Vehicles and their number of seats, routes and their stops in order, the driver attached to the transport, and each pupil assigned to a stop against the vehicle capacity. The family reads its child's stop in its own space. See the transport page.

Timetable & cover Available

Who teaches where, and who covers which lesson.

The week's timetable by class, by teacher and by room, on the same periods as the register; the platform refuses a class, a teacher or a room in two places at once. The day's cover — covered, supervised study, cancelled — and a timetable published to families and teachers. See the timetable page.

Marks & report cards

From the mark entered to the end-of-year report card.

Marks & report cards Available

From the mark entered to the report card in the parent's hands.

Teachers enter their assessments (scale, weighting), the platform works out weighted averages, rank and bilingual French / Arabic remarks, then produces the PDF report card — school letterhead, register number, checked by QR code — and publishes it in the family space, where parents also follow marks as the term goes on, as soon as they are entered, in the Grades tab. You can also upload the PDF report cards from the software you use today: they are attached to the right student automatically. Marks & report cards, in detail →

End-of-year report card Available

The whole year on a single page.

Annual averages by subject, annual rank, distinction and the class council's decision, on a one-page document on the school's letterhead — recorded in the school register and verifiable by QR code, like your certificates.

Finances

What has been collected, what is still owed, and what each family has subscribed to.

Payments desk, fees & receipts Available

Payments, instalment plans and arrears tracked class by class.

Tuition fees set for each year group; when the file is approved, the instalment plan is generated with the sibling reduction applied automatically. Payments taken (cash, cheque, transfer, card), numbered PDF receipts on the school's letterhead (authorisation number included), and arrears followed student by student and class by class.

Collection & reminders Available

Sums owed, chased courteously — and followed up.

A single screen shows the families with an outstanding balance. The school sends a courteous reminder by email or WhatsApp — from your school's own channels, never Scoliom's — and records payment promises so they can be followed through to settlement. Unpaid-fee reminders, in detail →

Subscribed services Available

Transport, the canteen, and whatever else you set up.

Each family subscribes to the school's services — transport, canteen, or any other service you configure — with its rate and its billing logic. You know which pupil uses what, at what price, and the amount joins their payment schedule along with the rest of the fees.

In your school's own currency Available

Billing in your own currency, in the families' own language.

Fees, instalment plans and receipts are kept in your school's own currency. Each family finds its instalment plan, what it has already paid and its numbered receipts in its own space, in French, Arabic or English. Billing, in detail →

Communication & family space

What the school sends, what the family reads.

Family communication Available

Batch emails and WhatsApp™ links ready to send.

Target by year group, by class or by incomplete file: invitations to re-enrol, reminders about missing documents. Emails go out as a batch and WhatsApp messages are generated as ready-to-click links — always prepared, then approved by hand before anything is sent, never automatically. Built on Scoliom's family communication over WhatsApp .

Family mobile app Available

The school in the parents' pocket.

Every parent finds their children, downloads their certificates that can be checked by QR code, looks up their instalment plan and receipts, and receives circulars with a read receipt along with notifications on their phone. The app installs in ten seconds from the browser, with no App Store or Google Play, in French, Arabic and English, and stays readable offline. The parents' app, in detail →

Families & online portal Available

Guardians fill everything in from their phone.

Father, mother and guardian records linked to each student; the family receives a secure link or a code, uploads its documents, follows the progress of the file and receives a confirmation at every step.

Oversight & continuity

The student database, the documents in the register, the staff — and your data recoverable.

Student database & import of your existing lists Available

Import the lists you already have, with nothing retyped.

Your export file is picked up as it is: column headings in French and in Arabic (الاسم, النسب…) are recognised automatically. A complete student record, a history kept year after year, siblings linked to one another, plus search, filters and Excel export.

Documents & dashboards Available

The state of the school year, readable in real time.

Attestations, school certificates bilingual French / Arabic, class lists and signature sheets; new students, returning students and incomplete files by year group, re-enrolment rate, how full each class is, plus Excel and PDF exports.

Certificates & leaving certificates you can check Available

Documents recorded in the school's register and checked by QR code.

School certificates and leaving certificates (exeat), bilingual French / Arabic, produced one at a time or for a whole class, each carrying a QR code for checking: a bank, an employer or a public office compares the document with the school's register in 2 seconds, without creating an account. Families download their documents from their own space; the school keeps a central register (identical reissue, cancellations logged). Certificates & exeat, in detail →

Staff management Available

Teaching and administrative staff, managed in the same place.

Staff records with role, documents and status; subjects and classes assigned to each teacher, employment attestations generated, and access by role: everyone sees what concerns them.

Backup & restore Available

Your data, recoverable by you.

The school triggers a backup of its own data from the platform — before a delicate operation, at the end of a term, whenever it sees fit — and can restore from the one it chooses. A school's backup holds only its own data, and never touches another school's.

The platform in action

Scoliom Scolarité, demonstrated

From the student record to the re-enrolment campaign: the platform in real conditions, on fictional data.

The guided tour

The guided tour, area by area

Three minutes: each area on its own screen, the timetable included, what it does and what it saves you from redoing. Sample data. The full timetable film is on its own page.

How to get it

Two ways to get it: the platform on its own, or everything taken care of

Scoliom Logiciel — quoted on request: the platform on its own, hosted, updated and backed up by Scoliom, run by your teams, with support by ticket. Platform commissioning, migration of your data and training are available as options. Setting up the timetable, by contrast, is included in every plan. Or included in your IT management contract, also quoted on request: we take care of everything — commissioning, data migration, training and support for your teams included (compare the plans). The amount is settled in a written quote after the remote assessment: it depends on your student numbers, your country and the scope you choose, it stays fixed for the whole school year, and there is never any billing per student. Either way, it is the foundation of the Scoliom school management suite : approved files feed billing, family communication and the school's documents, with nothing typed twice.

The core is up and running: student database with import of your existing lists, enrolment, re-enrolment and campaigns, files and supporting documents, family portal, payments desk, communication, official documents and staff management. The product keeps evolving; a demonstration is offered on request, and the scope activated for your school is confirmed in writing after the remote assessment.

See also: the Enrolment & re-enrolment module and family communication over WhatsApp (both in French). Managed IT for your school — workstations, backups, security and support for your staff — is included from the Scoliom Sérénité plan onwards.
