Our modules · Scoliom Billing

The billing software that follows every student, from enrolment to the final receipt

A private school commits almost all of its income on enrolment day, then collects it month after month — often with one person in charge of the whole thing. Scoliom Billing holds that cycle together, from the fee schedule the board approves to the last receipt handed over: instalment plans, payments, collections, projected cash. The same module equips private universities and higher-education institutions, where the amount each student commits makes every late payment far heavier: instalment plans per student, arrears followed up, and a financial picture that stays readable at any moment.

  • One instalment plan per family — aligned with your school calendar, siblings and reductions included
  • One collections screen — who owes what, since when, and where the payment promise stands
  • One projected cash position — what has come in, and what is still due before the year ends

What billing by hand really costs

Three points where a school loses track of its money

A cash position nobody can forecast

The year's budget rests on expected income, yet on a Tuesday in November the head cannot say what is still due before the school year ends. Decisions are then made blind: a new appointment, building work, a piece of equipment.

A spreadsheet that became the finance system

One workbook per class, columns added as they were needed, one version on the front office computer and another sitting in an inbox. The day the person who knows where everything is stays at home, nobody can say who paid what.

Chasing arrears that depends on one person

Ringing fifty families one by one, remembering who promised to pay before Friday, avoiding a second reminder to the family that has just settled: that memory work eats whole days, and it walks out of the door with the person who carried it.

The whole cycle, in one place

What the module takes on, from the approved fee to the receipt handed over

Tuition fees

Your fee schedule, entered once and applied everywhere.

Enrolment fees, tuition, transport, catering, activities and options: every line is set by year group, by stage or by stream, then carries itself across to each student record.

Subscribed services

Transport, the canteen, and whatever else you set up.

Each family subscribes to the school’s services — school transport, canteen, supervised study, or any other service you configure — with its rate and its billing logic. You know which pupil uses what, at what price, and the amount joins their instalment plan along with the rest of the fees, with no second file kept on the side. The canteen here is a subscribed and billed service: Scoliom handles neither menus, nor meals, nor stock. See school transport

Instalment plans

Every family knows what to pay, and when.

Monthly, termly, per semester or set against your own calendar; sibling reductions, bursaries and discounts applied without a single manual calculation.

Payments & receipts

One payment entered, one numbered receipt issued.

Cash, cheque, bank transfer or card: the payment is dated, matched to the instalment it settles, and the receipt goes to the printer or into the family's space.

Collections & reminders

Following up arrears no longer relies on memory.

A collections screen ranks families by the amount outstanding and by how long it has been due. The reminder stays courteous and goes out by email or WhatsApp — from your school's own channels, never Scoliom's — and every payment promise is recorded, then brought back on its due date. Cash dashboard

Collected, expected, overdue: the three figures that matter.

The picture reads by class, by stage and by month, and the forecast says what is still due before the school year ends — enough to decide before arrears settle in for good.

Accounting export

Entries ready for your accountant.

Each payment is attached to the family, with its numbered receipt: the history stays available, with no rekeying.

How you get it

A module already part of the platform, not one more licence

Scoliom Billing is not another piece of software to buy, install and then maintain: it belongs to the platform, and we set it up for your institution — private school, international school, university or higher-education institution — with your fee schedule, your classes or cohorts and your receipt templates. Billing and collections belong to the core of school administration: they are there from the Scoliom Logiciel plan — the platform on its own, run by your own teams — just as they are in the Scoliom Essentiel plan, where we take the day-to-day running off your hands. In both cases the amount is set on quotation, after the remote assessment.

Two ways in: quoted on request, Scoliom Logiciel gives you the platform with billing, the student database and online enrolment — your teams are at the controls and support runs through tickets (see the four plans). Also quoted on request, the Essentiel plan adds the setup, the migration of your existing data, training for the team and notifications to parents, alongside online enrolment & re-enrolment. In both cases the scope, the data migration, the training and the support are settled in writing after the remote assessment: the quote depends on your student numbers, your country and the scope you choose, never on a headcount billed student by student, and it stays fixed for the whole school year.

New

New: taking over billing mid-year

In the settings, the school chooses the first billed month. Instalment plans generated afterwards start from that month: nothing is billed before it, not even a one-off September fee.

For plans already generated, a button removes — after a confirmation showing the figures — only the earlier instalments that were never paid and come from a fee; a partly paid instalment or a line entered at the payments desk stays, and the totals follow. Included in every plan.

What school leaders ask us before making the move

Let's get started

Let us first look at where your school's money stands

One remote exchange is enough to draw the picture: how much is outstanding, which tools you use today, how payments come in, and how your school year is laid out. You leave with a written review and a first budget estimate, with no commitment — see how the remote IT assessment for schools unfolds.
