Online student records: a pupil's whole year in one record, from enrolment to leaving certificate

Their profile, their guardians, their class, their absences, their marks and report cards, the family's payment schedule and receipts, the documents the school has issued to them: in Scoliom Scolarité, everything about a pupil sits in a single record. The online enrolment application creates it, approval opens the payment schedule, and every step of the year is written into it.

  • One pupil, one record — profile, guardians, a history kept year after year
  • Online enrolment that becomes a record — the family's application reaches the school office and, once approved, opens the payment schedule
  • Verifiable documents — school certificate and leaving certificate (exeat) issued from the record, entered in the school's register, verifiable by QR code
  • A family space in three languages — French, Arabic and English, with one code per family for all their children on the Scoliom Sérénité plan

This page follows the record through the whole year. For the admissions campaign itself — forms, required documents, reminders to late families — see Online enrolment & re-enrolment.

Why a single record

Three situations every school office knows

As long as the pupil's details live in one spreadsheet, the payments desk in another and certificates in a Word template, every question from a family means opening three tools.

The parent at the front desk

A father asks at the office whether September has been paid, why his daughter was marked absent on Tuesday, and whether he can leave with a certificate. One student database answers all three questions: the family's payments, the absences and the documents already issued are attached to the same pupil.

The certificate needed today

A family needs a school certificate today, for a bank or a visa application. It is generated from the record, with nothing retyped, entered in the school's register with a QR code for verification; reissued, it comes out identical.

The change of class

In November, a pupil moves from one class to another in the same year group. The change is made once, in the student database: there is no second file to correct, and their guardians, the family's payment schedule and their documents stay in the same record.

What the record holds

A profile, and around it what each area of the platform knows about the pupil

The record brings together what the Students, School life, Marks & report cards, Payments and Register areas know about the same pupil: they all work from the same student database.

Students: profile and guardians

One record per pupil, and it follows them.

A complete pupil record, with year group and class. Guardians — father, mother, legal guardian — have their own record, linked to each pupil, and siblings are linked to one another. The history is kept year after year.

School life: absences and absence notes

The pupil's year, not just their details.

Absences recorded when the register is taken, period by period, and what happens next: explained online by parents, then accepted or turned down with a reason by the school life office.

Marks & report cards

The year's marks, the report cards issued.

The marks entered by teachers for the year being viewed, and the report cards issued in the register, verifiable by QR code.

Payments: schedule and receipts

What the family has paid, and what is still outstanding.

The payment schedule created when the file is approved, payments received, numbered receipts and the family's outstanding balance, subscribed services included, in your school's currency. See school billing.

Register: the documents issued

What was issued, and by whom.

The documents issued for the pupil — enrolment letters, school certificates, leaving certificates, report cards — are entered in the school's register, each with its number, its date of issue and the member of staff who issued it; a cancellation stays visible and is recorded.

Online enrolment

From the online enrolment application to the record, then to the first invoice

Pupil records software should not stop at the form: online enrolment is where the record is born, and it then moves through the school office and the payments desk without being retyped.

1

The family applies

The school shares the link to its public pre-enrolment form. The family enters the pupil, the guardians and the year group requested, from their phone.

2

The file reaches the office

Nothing is retyped: the pupil, the guardians and the year group requested are already entered, and the status of every file can be followed by year group and by class.

3

The office reviews it

Required documents are defined for each type of file; every item is ticked off as received and in order, and a file is only approved once it is complete. A family document approved for one child counts for their siblings.

4

Approval opens the year

On approval, the file moves across to billing: the family's payment schedule is generated from the fees set for the year group. The first instalment is there, with nothing retyped into other software.

A file entered at the front desk by the office follows the same path. The following year, re-enrolment starts from the existing record — see Online enrolment & re-enrolment.

For families

What the family sees in its space

  • With the Scoliom Sérénité plan, one code per family opens the space for all their children.
  • The payment schedule, amounts paid, outstanding balance and downloadable receipts, in your school's currency.
  • Marks as the term goes on, and the report cards the school publishes.
  • Absences, messages and circulars from the school, and the week's timetable.
  • Certificates the school has published, downloadable and verifiable by QR code.
  • In French, Arabic and English: the parents' app installs from the browser, with no app store needed.

Documents issued from the record

Certificates and leaving certificates, verifiable by QR code

Documents are no longer typed: they are drawn from the record. More on the school and leaving certificates page.

The school certificate

Generated from the record, in French and in Arabic on the same document, on the school's letterhead: name, class and school year come from the profile. One at a time, or for a whole class at once, at the start of the year.

Withdrawal and the exeat

The leaving certificate (exeat) carries the leaving date and the reason for the departure; it is generated from the record and kept there.

A register, a QR code

Each document receives a number in the school's register and a QR code: the bank, the authority or the next school compares it with the register by scanning it, without creating an account. A cancellation is recorded without deleting the document.

Users & access rights

Who sees what in a pupil's record

Access is individual and granted by role: each person sees only what concerns them.

Leadership team and school office

Profiles, enrolment, documents.

The school office keeps profiles up to date, reviews enrolment files and issues certificates and letters; the leadership team approves the documents published to families and checks its dashboard every morning.

Finance office

The payments desk and arrears.

The finance office follows each family's payments received, instalments, numbered receipts and payment promises, on the same student database.

Teachers and families

Each has their own space.

Teachers work in their own space — timetable, taking the register, entering marks. Families have theirs, where each parent sees only their own children.

What is done stays on record. Sensitive actions carried out in the platform are logged: the leadership team can see who did what, and when. See also data security.

Bringing in existing records

Your Excel lists become student records

Nobody retypes their whole student database: the records start from what the school already holds.

A workbook, one row per pupil

Student lists are imported from your export file or an Excel workbook, with a downloadable template; column headings in French and in Arabic are recognised.

Siblings linked

Siblings are linked to one another: children of the same family sit under the same guardians, and each pupil's history is kept year after year.

And your data stays yours

The other way round, Lists & searches exports your lists to Excel, and all your data — students, families, payments, documents — can be exported at any time in reusable formats.

How to get it

The student record, at the heart of every plan

The student record is the foundation of Scoliom Scolarité. The student database, online enrolment, billing, marks and report cards, the family space and QR-verifiable documents are part of the platform from Scoliom Logiciel — like the timetable and the school calendar, included in every plan.

What each plan covers: Scoliom Logiciel is the platform on its own, run by your teams, with data migration and training as options; Scoliom Essentiel adds set-up, data migration, training and parent notifications; Scoliom Sérénité adds supervision of your IT, support for your users and access with a single code for all of a family's children; and Scoliom Direction Numérique outsources your IT leadership. Pricing is by written quote, and the scope is confirmed in writing after the remote assessment.
